Email Report from Report Preview

When reports are run they are presented in the Report Preview window. The report data can be viewed on-screen, printed, emailed, or exported.

  1. Click the Email button on the toolbar.

    The Email Report window opens, prompting you to select a recipient and enter a message.

  2. Choose between two options:

    • Enter the email address of the intended recipient into the To Address field.

    • Select a recipient stored in your Maintenance Connection Address Book:

      1. Click the To button.

        The Select Recipients window opens.

      2. Select the individual's name in the recipient list.

      3. Click the To button.

        The recipient is moved to the To recipient list.

      4. To select an additional individual as a recipient, select the individual's name in the recipient list.

      5. Click the To, Cc, or Bcc button to add this individual as a primary, copy, or blind copy recipient.

      6. Click the Apply button.

        You are returned to the Email Report window.

  3. If you want to add copy or blind copy recipients, click the Cc or Bcc buttons and proceed as described in step 2.

  4. Select the priority for the email from the Priority field.

    The default setting is normal (no level of urgency defined).

  5. Edit the Subject field if desired.

    By default, the name of the report is listed as the subject of the email.

  6. Enter a message to appear in the email content in the Message field.

    This message will appear directly above the report information.

  7. If this is a work order report, select whether or not you want to set the Printed/Emailed setting to Yes.

    This option sets the Printed/Emailed flag on the Work Order Detail tab.

  8. Click the Apply button.

    Once the email has been successfully sent, a message displays, indicating the email was sent to the intended recipients.

  9. Click the OK button.

    You are returned to the Report Preview window.

  10. Click the Close button.

    You exit the report.
